Internship Programs in Bali

Terms and Conditions

Bali Internships is a product of PT Bali Internships which offers mediation services into program placement services of second-party organizations. The following terms and conditions apply for every participant using the mediation services of Bali Internships.

§1 Contracting Parties

1.1 Bali Internships, located in Jimbaran, Bali, Indonesia, and you are the sole parties to the contract for the provision of your placement services into an internship or volunteer program abroad.

1.2 If the participant is demanding other services which are not part of the mediation service of Bali Internships as insurances, vehicle rentals, accommodation, flights, visa etc, the contract is between the selected service provider and the participant only.

1.3 In some cases the participant will receive an additional contract with from our partner organization, which confirms the successful placement into one of their programs. Our partner and you are the sole parties to the contract/ confirmation. Bali Internships is only responsible for the mediation service and errors caused by Bali Internships. Liability is precluded for simple negligence. The participant herewith agrees that the partner organization is according to §4 the actual contractual partner for all services provided within the volunteer of intern program itself.

§2 Completion of the contract

By clicking on the box beside the phrase 'I have read and agree to the Bali Internships terms and conditions' the participant agrees to these terms and conditions. The contract is valid after registration fee is received and registration form is signed. Bali Internships do not guarantee that the participant will be successfully placed in the program as stated in the initiation email correspondence. The mediation into an alternative program does not mean that Bali Internships is not performing the services as defined in the contract.

§ 3 Object of the contract

The main subjects of this contract are placement services and the current service of Bali Internships at the contracting time. The placement service can be looked up at the web presence www.baliinternships.com

§ 4 Performance

4.1 The service included in the volunteer, internship or study programs can be looked up at www.baliinternships.com. We reserve the right to change the services included in a program any time without notifying the participants. Bali Internships and its partner organizations are not liable for indebted shifts in program dates.

4.2 Bali Internships only mediates participants into volunteer and internship programs of third party service providers or third party organizations. Thus, we are only responsible for the mediation service itself, but not for the services performed by the third party partner.

4.3 All program proposals and offers are based on the information of the partner organization or program coordinator abroad. Bali Internships is not liable for this information.

4.4 Bali Internships has no influence on any factors that may cause a change of program presented on this website. This especially applies for volunteer projects. Volunteer projects are no touristic venture. Participants who agree to volunteer acknowledge and accept the responsibilities and risks that are associated with ones' being, travel and stay abroad during the program run under the host organization.

4.5 If the partner organization does not perform its terms as agreed upon in the sub-contract, or the participants decide not to use the services offered by the partner organization and Bali Internships understands and acknowledges the reasons, Bali Internships will endeavor to refund. In addition, BaliInternships will not start any efforts to request a refund for the participants if the request is irrelevant or not possible due to external policies of other authorities or institutions. The registration fee of Bali Internships in no event is refundable when the participant is requesting a refund after the start of the trip.

§ 5 Placement procedure and Mediation

5.1 Bali Internships will start its placement services after the application/registration form was successfully submitted online and the receipt of the registration fee from the participant has been confirmed by Bali Internships’ finance.

5.2 All placement correspondences are done via email, the applicant has a maximum 7 working days to respond (other inquiries made informally via other online messenger apps or phone calls are not acceptable). A reminder is then sent, after which the student has 72 hours to respond. In the event of no response, Bali Internships has the option to cancel the placement, application will be considered canceled due to no responses. The applicant is not entitled to a refund of the deposit of €75.

5.3 Based on the participant’s request stated on one’s signed registration form, participant will receive one program offer at least with a maximum of 3 (three) different program choices/alternatives stated beforehand on participant’s signed registration form.

5.4 Applicants agree to mutual cooperation with the aim of mediating a suitable internship between the applicant and the host internship company/host organization. The program agreement from the educational institution is concluded between the host company/organization and the applicant. Bali Internships merely acts as mediator, to assist and facilitate externally.

§6 Confirmation

6.1 The program confirmation or internship contract is a separate contract/agreement between the participant and Bali Internship as an agency. 6.2 This contract/agreement has to be signed by the participant and has to be sent to Bali Internships Jimbaran, Bali head office, via air mail or e-mail.

6.3 The signed program confirmation or internship contract/agreement (also with e-signature) is considered as successful placement/mediation into one of our programs.

6.4 Prior to program confirmation, participants must confirm program starting and ending dates and confirmed dates are previously confirmed by the intended host organization where participants will volunteer or intern.

6.5 After a program confirmation, program change is not doable.

§ 7 Program fees

Details of the program fees are listed on the web presence of Bali Internships. The program placement fee covers the placement service fee of Bali Internships, listed on the web presence of Bali Internships. All fees are accurate at the date published. The fees which are online at the date of the online application apply for the contract/program agreement/program confirmation.

§ 8 Payment

8.1 If a participants uses Bali Internships mediation services, we invoice a program fee (see §7). After the successful placement into a program the participant has to pay the full amount due.

8.2 After completing the online application and accepting the terms and conditions of Bali Internships the participant has to pay the registration fee as set out on our website. The program fee is to be paid after the participant has received a program confirmation or contract (also e-mail). The participant will receive an invoice with the program fee from Bali Internships, which is due 14 days after receipt and before start of the journey. If the participant does not meet the due date a fine of 10 Euro per day is due. If the participant has not paid the full fee 14 days prior to the day of departure, the participant will lose his/her service claim on the partner organization.

8.3 Bali Internships reserves the right to reserves the right to modify program fees during application periods.

8.4 If the participant fails to pay the program fee or does not submit all required documents by the given deadline, Bali Internships reserves the right to cancel the applicant’s participation in the program

§ 9 Right of withdrawal

9.1 If a participant withdraws from the program within 14 days cancellation period, Bali Internships will stop the placement, delete all personal data and refund the full registration fee. Only withdrawals in the form of air mail, fax or email without indicating any reasons are accepted.

9.2 If a participant withdraws from the program at any stage, as Bali Internships and its partner organization has already started processing the application with the explicit participant’s affirmation, the registration fee will not be refunded.

§10 Refund policy

10.1 Cancellation before successful program placement. The registration fee will not be refunded if the interview with the host company or with our staff has already been taken place.

10.2 Cancellation after successful program placement (at least 60 days prior to the beginning of the program). The registration fee will not be refunded.

10.3 Cancellation after successful program placement (from 60 days prior to the beginning of the program).

10.3.1 The registration fee will not be refunded.

10.3.2 A cancellation fee of 200 Euro is due for every project and internship placement deducted from the final program fee payment.

10.3.3 Any fee that has already been paid to any third party service provider is being withheld (e.g. transport costs, booking fees).

10.3.4 The remaining of the fee is being refunded.

10.4 Cancellation after the beginning of the program:

10.4.1 The program fee will not be refunded.

10.4.2 In exceptional cases, Bali Internships is authorized to waive part of the program fee.

10.5 Cancellation due to invalid/false/wrong country entry permit (visa). The program fee will not be refunded, please see §11

Note: If the participant wishes to shorten the program, the participant has to consult the program coordinator and report to Bali Internships. A refund of the remaining fees is unmanageable.

10.6 Withdrawal due to force majeure:

10.6.1 BaliInternships.com is not liable for damage or loss (program fee) that participants in the programs arise due to unusual or unforeseeable circumstances (force majeure).

10.6.2 BaliInternships.com reserves the right, after consultation and goodwill of the partner abroad, to pay a reimbursement of the program fee.

10.7 Program postponement

Until further notice, program participants can change their program 1 date free of charge. If the date changes, participants have 90 days to select a new start date for the program that is later than the original date. If no new date is selected within 90 days, the program will be canceled and there will be no reimbursement of the program fee.

§11 Entry documents

The participant is solely responsible for the visa application and other documents required for entering the country. If the participant is not entitled to receive the visa, is being rejected or does not receive the visa in time, the participant has to bear all additional travel expenses or cancellation fees in case of withdrawal (see §10). It is the responsibility of the participant to carry all necessary documents when traveling abroad.

§12 Termination

12.1 Bali Internships is authorized to terminate the contract on special occasions and without setting a deadline, if the participant is showing inappropriate behavior which has a negative effect on the placement procedure. Bali Internships defines a behavior as being inappropriate if the participant does not reply to the emails or withholds information relevant to the placement procedure. The fee will not be refunded in this case as allowance for our services

12.2 Bali Internships is authorized to terminate the contract prior to a successful placement, if the participant is rejecting 3 program offers. The registration fee will not be refunded in this case as allowance for our services.

12.3 Bali Internships is authorized to terminate the contract prior to a successful placement, if the participant has been rejected by host companies during the placement procedure due to insufficient skills for the requested internship. The registration fee will not be refunded in this case as allowance for our services.

§13 Payment/ Remuneration

No participant is entitled to receive any payment during the internship or volunteer program. Unpaid programs are no plausible cause of cancellation.

§14 Deficient program placement

14.1 The participant has to request immediate remedy, if they do not perform the services as mediated by Bali Internships. In this case Bali Internships is willing to mediate between both parties, even though it is not obligatory. Liability of Bali Internships is excluded in this case.

14.2 The participant has to report complaints directly to Bali Internships. Only in this case Bali Internships can mediate between both parties. The participant has to grant an appropriate time-frame in agreement with Bali Internships, which gives the partner enough time to remedy shortcomings.

14.3 Basically, it is possible to change the program one time, if the participant cannot stay within the first program under certain circumstances. Hereby, the participant has to grant an appropriate time-frame in agreement with Bali Internships, which gives the partner enough time to arrange a program change.

14.4 A new program proposal and placement fee of 200 Euro is due for a successful new program placement.

14.5 If a change in program is not possible, as the expectations of the participants as inappropriate as stated in §4 .4., Bali Internships is entitled to refuse to offer another program. In this case the participant has no right to claim indemnity.

§15 Liability restrictions

15.1 Bali Internships has no liability for any occasions which are not part of their responsibilities (granting scholarships, insurance services etc). Any activities of the participants prior to, during or after their stay abroad are at their own risk.

15.2 Bali Internships and its staff are not liable for any damages caused by third party persons. This also applies for traffic accidents, criminal assaults and other life risks caused by the social situation specific for the host country. The participant is obligated to collect sufficient country information prior to the beginning of the program. This especially applies for all volunteer travels.

15.3 The partner of Bali Internships are not obliged to take over liability for any damages caused by the participant during the stay abroad. If the participant violated the code of conduct of the partner organization or Bali Internships, the participant cannot change the program. In such cases Bali Internships and its partner organizations are authorized to exclude the participant from any further services.

§16 Insurance

Bali Internships does not provide the volunteer with insurance of any kind. International health insurance, indemnity insurance and accident insurance are mandatory for the whole period of every participant. The participant has to get acquainted with the medical guidelines, vaccinations or other risks associated with the travel to the host country.

§17 Testimonials

Bali Internships is constantly striving for high performance services. Every feedback helps to improve the service performance, voluntarily. For this purpose Bali Internships has to right to change phrases to a small extent and can edit pictures. The participant agrees to transfer the copyright for text and images to Bali Internships.

§18 Limitation

The regular statutory limitation period shall apply to this contract and the contracting parties. A limitation period of 1 year applies for companies or sales persons.

§19 Personal data

The participant agrees that Bali Internships and its partner organization will forward all personal data (application, resumé etc.) to host companies during the placement procedure.

§20 Governing Law

There terms are governed by the laws of Bali, Indonesia. In case the contract lacks of information, all other paragraphs of these terms still apply.
